Few employers think of the reception register as personal data, but it is. The front desk is where most visitor information is collected, so the receptionist is part of your data-protection practice whether you plan it or not.
A visitor’s name, phone number, host and time in and out usually meet the purpose. Photocopying or photographing every ID card creates a store of sensitive data you then have to protect.
A short notice at the desk or on the sign-in screen, saying what is collected, why and for how long, is good practice now and part of what the DPDP Act, 2023 expects.
Decide how long visitor records are kept and have the desk purge old registers or app data on schedule, rather than keeping everything forever.
Under the DPDP Rules notified in November 2025, most obligations of the Act apply from 13 May 2027. Training your front desk now costs little.

Grooming standards are fair to set; selecting on looks, age or gender is not. Brief us on the standard of dress and conduct you expect, and we screen for it.
Under the OSH Code the normal working day is eight hours. Long desk hours need a second shift or overtime paid at twice the rate under the Code on Wages.
If the desk does not know who to call for an aggressive visitor, a media enquiry or a medical emergency, it will improvise. Write it down on day one.
A receptionist can register visitors, but should not be expected to stop someone forcing entry. Keep security a separate role.
Women may work before 6 am or after 7 pm under the OSH Code only with their consent and under the safety conditions, such as transport, that the rules prescribe.
